At King Parrot Cottages and Event Centre, we aim to create a space that feels calm, supportive, and easy to work within — for both retreat organisers and their guests.
These retreat specific policies are to be read in conjunction with our general accommodation Terms and Conditions, which apply to all bookings.
By making a booking, you acknowledge that you have read, understood and agree to these Terms & Conditions.
bookings and payments
A deposit of $2,000 is required to secure retreat dates.
For enquiries made via phone or email, dates can be held for up to 24 hours pending deposit.
The remaining balance is payable 14 days prior to arrival.
All bookings are considered confirmed once payment has been received.
cancellations and changes
Please respect our small business cancellation policy, as cancellations significantly impact us.
• More than 60 days prior to arrival: 50% of the deposit is retained
• Within 45 days of arrival: 100 percent of the deposit is forfeited
• Within 14 days of arrival: All payments are non refundable
If we are able to rebook the same dates for all cottages booked, we will refund any amounts paid, minus a $50 administration fee.
We truly appreciate your understanding of our cancellation policy. As a small, family-run property, when a booking cancels, it can be very difficult to rebook the same dates at short notice, which has a significant impact on our business and staff planning. Our policy ensures we can continue to care for the land, the cottages, our animals, and the people who help bring King Parrot to life. We’ll always do our very best to rebook cancelled dates on your behalf, so that we can return your deposit wherever possible.
We strongly recommend that retreat organisers hold appropriate insurance to cover cancellations or changes.
accommodation and guest management
Retreat organisers are responsible for:
• Coordinating guest attendance
• Allocating rooms within booked cottages
• Communicating property guidelines to their guests
Final guest numbers must be confirmed prior to arrival.
Additional cottages may be added to your booking as numbers grow, subject to availability.
All guests must be included within the confirmed booking. Unregistered guests are not permitted without prior approval.
exclusive use of the property
Exclusive use is only secured when all cottages are booked.
If the property is not booked exclusively, other guests may be staying onsite during your retreat. These guests will not be allocated to the Lodge and Hall or any cottages included in your booking.
Retreat organisers are responsible for ensuring their group respects shared spaces where applicable.
use of lodge and hall
The Lodge and Hall are provided as the central space for your retreat activities.
Furniture may be moved within the space to suit your retreat, however all items must be returned to their original position prior to departure.
Any damage to the space or furnishings may incur repair or replacement costs in line with our accommodation Terms and Conditions.
retreat organiser responsibility
The retreat organiser is responsible for the overall conduct, safety, and wellbeing of all participants attending the retreat.
This includes:
- ensuring participants are informed of the nature of all activities
- confirming participants are physically and mentally able to participate
- providing appropriate supervision and guidance throughout the retreat
- ensuring all participants comply with property rules and safety directions
The organiser agrees to indemnify King Parrot Cottages and Event Centre against any claims, loss, damage or liability arising from the actions, omissions or conduct of the organiser, participants, or third-party providers engaged by the organiser.
We strongly recommend that retreat organisers hold appropriate insurance to cover their retreat activities and participants.
use of facilities and higher-risk activities
Guests acknowledge that use of all facilities and participation in activities is undertaken at their own risk.
This includes, but is not limited to:
- ice baths and cold exposure
- infrared sauna
- breathwork and physical practices
- bush walks and surrounding natural areas
Retreat organisers are responsible for obtaining informed consent from participants and ensuring they are aware of any risks involved.
Participants should not engage in any activity if they feel unwell, unsafe, or unsure of their ability to participate, and should seek medical advice where appropriate.
King Parrot Cottages and Event Centre accepts no responsibility for any injury, illness, loss or adverse outcome resulting from participation in these activities.
external providers and catering
External caterers, facilitators, and service providers are welcome.
Retreat organisers are responsible for coordinating all external providers and ensuring they comply with property guidelines.
Access to the Lodge commercial kitchen is included where applicable.
staff support
Additional staff support is available at $50 per hour and must be arranged and paid for in advance.
This may include assistance with:
• Ice collection and ice bath setup
• General support tasks
• Basic property guidance
Availability is subject to staff scheduling.
wellness facilities
Use of the sauna, massage room, and ice baths is at the guest’s own risk.
Retreat organisers are responsible for ensuring participants are informed and capable of safely using these facilities.
King Parrot accepts no liability for injury or misuse of wellness facilities.
noise and environment
King Parrot is located within a quiet valley where sound carries easily. To respect other guests and neighbouring properties:
• Loud music is not permitted at anytime
• Quiet hours apply from 10pm
Retreat organisers are responsible for ensuring their group adheres to these requirements.
safety and environment
King Parrot is a natural bush property.
Guests acknowledge risks associated with uneven ground, wildlife, water areas, and outdoor environments.
Retreat organisers are responsible for the supervision and wellbeing of their group at all times.
All guests must comply with fire restrictions and any directions provided by management
liability and insurance
Retreat organisers are responsible for their group and activities during their stay.
We strongly recommend organisers hold appropriate insurance, including public liability where applicable.
King Parrot is not liable for injury, loss, or damage arising from retreat activities or use of facilities, except where required by law.
force majeure
King Parrot is not liable for any failure or delay in performance due to events beyond reasonable control, including but not limited to extreme weather, fire danger ratings, or government restrictions.
